Credentialing is a complete solution for online review, approval and renewal for the Scope Of Clinical Practice awarded to medical officers, nurses or allied health professionals.
The system can be loaded and configured to your local forms, processes, letters and reports used for reviewing and approving a doctor's credentials - all within 7 days, while the system can be fully functional after just 2 days training for office staff.
Healthcare providers must maintain records and processes to approve the qualificaitons and credentials of Medical Officers, Nurses and Allied Health Professionals working within the organization. These records must meet the highest standards for approving the Scope of Clinical Practice for each doctor to treat patients. Credentialing is a complex and time consuming process with significant risks if errors or omissions occur. Credentialing systems also have to be subject to the highest standards for auditing and transparency of the process. These systems are also subject to regular policy and compliance changes that cause increased risk and stresses for Quality and Clinical staff alike.
Typically, healthcare organizations manually initiate, track and report on hundreds of credentialing applications each year. Quality or Safety staff spend several hours of laborious, non-value adding, monotonous work on each and every application. As a manual process, there are significant risks for errors or inadvertent loss of Credentialing information. As credentialing data is locked within adhoc spreadsheets and databases, the creator of such may be the only person who knows how to use or access information. File information is spread across many disparate formats and locations as emails, attachments and records of conversation. Recommendations or audit actions are not linked to credentialing files so actions are difficult to follow up and errors are difficult to detect. Credentialing processes are not consistent and cannot be reliably audited to verify compliance with regulations and guidelines.
Phase 1 – Applications
New candidates are emailed a link to an online form.
Candidates can complete the application for their requested SOCP in one session, or save and complete at their convenience.
Application submission requires no training or logons
Renewal reminders and other Credentialing actions are automatically triggered.
Phase 2 – Review
Applications are stored online and assigned to their appropriate workflow.
Credentialing Managers use custom didgital checklists relevant to their specific local processes and procedures.
Credentialing Managers can seek additional information, endorsements or recommendations; responses are automatically ‘placed’ in the online application file.
Phase 3 – Consideration
Interim or Full Credentials Applications are directed to the appropriate stakeholders.
Online agendas are available to approved members of the local Credentialing Committee.
Committee minutes and recommendations are automatically produced for online distribution.
All letters and actions arising from the Committee are linked to the electronic ‘file’ for follow up.

In addition to automating credentialing workflows the Credentialing app also provides a searchable register of all credentialing files that can be made available throughout the organization. This register provides real time access to nurses, administrators, HR and clinical managers to identify groups of credentialed medical officers according to search criteria defined from any data element in each file.
ONLINE APPLICATION PROCESSING -The solution off C.Gov allows clinical staff to process all applications online; automated workflows collate and distribute additional information, endorsements, recommendations. Follow up recommendations or actions are tracked automatically.
REQUIRES NO USER TRAINING - Any staff member involved in the Credentialing process - whether making decisions, reviewing recommendations or tracking progress on follow up actions can complete their job via emails that contain a link to the relevant online forms.
FLEXIBLE - The system conforms to your organizational structure and procedures. Credentialing processes are developed to suit your preferred workflow and can be modified at any time by your Credentialing Manager without reference to IT specialists. The system can be integrated with other internal applications to track assignments to operating lists, activity levels measured against SOCP, or professional development targets.
UPGRADES AND CHANGE MANAGEMENT - C.Gov can be upgraded without IT support or software development. Changes to any part of the system can be designed and implemented for use within two days. You can then publish the upgraded system across multi-hospital organisations the same day.
